Kickoff
From the Briefing memo to a working system of governance.
The Kickoff is the first project with Spektor. It starts from what the Briefing brought to light and moves through all six phases of the Spektor Method, from Map to Maintain. At the end the rules are adopted, the responsibilities are assigned, the people are trained, and the organisation can demonstrate it.
Core and Extended
Two versions. The depth of each phase changes, never the number of phases.
Core.
For organisations with a contained scope: few functions involved, simple use cases.
Extended.
For organisations with more functions, more sites, more tools, more categories of people using AI.
Phase by phase:

Map.
Core: a questionnaire and a working session.
Extended: an in-depth mapping, with interviews with the heads of function.

Calibrate.
Core: one or two groups of people to train.
Extended: groups differentiated by function and by role.

Train.
Core: a session with senior management and AI literacy training for the main groups.
Extended: a session with senior management, training differentiated by group, hands-on workshops on the tools the organisation actually uses.

Codify.
Core: an essential acceptable-use policy.
Extended: policies and procedures, plus the first version of the AI register.

Demonstrate.
Core: the evidence file.
Extended: the full documentation and a report to senior management.

Maintain.
Core: the first update is included.
Extended: an annual maintenance plan is included.
The version is not picked from a catalogue and does not depend on the number of participants. It depends on how many functions are involved, on how varied and sensitive the use cases are, on how many AI tools are in use, on the presence of personal data, workers, candidates or regulated processes. These are things that emerge in the Briefing: the version is a diagnosis.
There is no third, reduced version.
What senior management sees at the end
The Kickoff produces many documents: the map of uses, the policies, the materials, the evidence file. They serve those who apply them and those who may one day have to show them.
Those who lead the organisation see one page, not thirty: which uses of AI are authorised, which rules apply, who answers for them, what the organisation can demonstrate today.
It is the decision test applied to the last document: it must be enough to decide.
Terms
The Kickoff follows an Executive Briefing. It cannot be bought directly: the proposal comes in writing, after the Briefing memo.
The Kickoff has a defined cost and format, set out in the proposal. The proposal includes Maintenance from the start.
If your organisation is based in Italy and belongs to an interprofessional training fund (fondo interprofessionale), it can use the fund as a method of payment. The content and terms of the Kickoff do not change.
